Common traps

Slow termination notifications: If you don't notify the carrier promptly, you'll continue receiving invoices and may owe premiums for coverage that should have ended. Worse, claims paid after termination may be your liability if the carrier can show late notification.

Forgetting dependent changes: A dependent aging off coverage (child turning 26) or losing eligibility due to divorce is a qualifying event. These are easy to miss if there's no process to track dependent eligibility dates.

FAQs

Do we have to notify all vendors for every status change?
No, only the vendors administering benefits that are actually affected by the specific change. A promotion with a salary increase may only require updating the 401(k) administrator and life insurance carrier (if coverage is salary-based); a termination requires notifying everyone.

What if we notify late?
For carrier notifications, late notice means you may owe premiums for the gap period and could face claim liability. For COBRA, missing the 30-day window to notify your plan administrator can start a chain of COBRA violations. Review what happened, notify immediately, and document your process going forward.
